Job Description

Job Title: Administrative Assistant

Reports To: Owner of Local Franchise

Summary: Schedules appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.

  • Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Answers and screens telephone calls, and arranges conference calls.
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
  • Composes and types routine correspondence.
  • Organizes and maintains file system, and files correspondence and other records.
  • Coordinates manager's schedule and makes appointments.
  • Greets scheduled visitors and conducts to appropriate area or person.
  • Arranges and coordinates travel schedules and reservations.
  • Conducts research, and compiles and types statistical reports.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  • Makes copies of correspondence or other printed materials.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Orders and maintains supplies, and arranges for equipment maintenance.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education/Experience:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Word or equivalent word processing software; Microsoft Excel or equivalent spreadsheet software; Quickbooks accounting software as well as general internet web browsing and email software.

Supervisory Responsibilities:

This job has no supervisory responsibilities.
